Rent, utility bills, and office supplies are common and, when totalled together, aren\u2019t insignificant.<\/p>\r\n \r\n\r\n \r\n<p>For example, in 2019, real estate agents spent 1.3 per cent of their total revenue on rent and another 1.3 per cent on utility bills. These percentages may appear small, but when every dollar counts, it\u2019s important to keep as much of your revenue as possible. As you scale, those small percentages come to represent not-so-small dollar amounts.<\/p>\r\n \r\n\r\n \r\n<p>Fortunately, many small business expenses may be <a href="\&quot;https:\/\/www.centrosome.ca\/claiming-business-expenses-in-canada\/\&quot;"><span style=\"text-decoration: underline;\">claimed and written off<\/span><\/a> as tax deductions. The Canada Revenue Agency (CRA) allows businesses to <a href="\&quot;https:\/\/www.canada.ca\/en\/revenue-agency\/services\/tax\/businesses\/topics\/sole-proprietorships-partnerships\/business-expenses.html\&quot;"><span style=\"text-decoration: underline;\">deduct business expenses<\/span><\/a> when they incur to earn income.\u00a0\u00a0<\/p>\r\n \r\n\r\n \r\n<p>But before you reduce your tax obligation, it\u2019s important to understand what qualifies as a <a href="\&quot;https:\/\/www.ownr.co\/blog\/small-business-deductions-expenses\/\&quot;"><span style=\"text-decoration: underline;\">deductible business expense<\/span><\/a> and how to record and claim business expenses in Canada.<\/p>\r\n \r\n\r\n \r\n<h2>How to determine if a business expense is tax deductible<\/h2>\r\n \r\n\r\n \r\n<p>In Canada, business expenses are only tax deductible when the expense is <span style=\"text-decoration: underline;\"><a href="\&quot;https:\/\/turbotax.intuit.ca\/tips\/what-kind-of-expenses-can-you-claim-for-your-small-business-6166\&quot;">reasonable<\/a> <\/span>for your line of work. Reasonable business expenses vary from business to business, as what\u2019s reasonable in one industry differs from that of another.<\/p>\r\n \r\n\r\n \r\n<p>Generally, business expenses are deemed reasonable if they\u2019re appropriate to your business in both type and cost. For example, you may deduct the cost of your telephone, like your <a href="\&quot;http:\/\/www.ownr.co\/resources\/perks\&quot;"><span style=\"text-decoration: underline;\">Telus bill<\/span><\/a>, if the expense was incurred for business purposes.<\/p>\r\n \r\n\r\n \r\n<p>In contrast, the owner of an antique store likely could not write off the purchase of a brand-new motorcycle.<\/p>\r\n \r\n\r\n \r\n<p>Determining if an expense is reasonable is relatively straightforward. If it\u2019s an expense intended entirely for business purposes, such as the office electricity bill, it would be deemed a business expense. However, what happens if you use a single cell phone for both business and personal use?<\/p>\r\n \r\n\r\n \r\n<p>In a case like this, you could only claim a fraction of the expense\u2014the portion of expenses incurred for business purposes. If you use your phone for business 20 per cent of the time, 20 per cent of your phone bill would be tax deductible. The same applies to the purchase of the hardware. When possible, it\u2019s advisable you put your utility accounts in the company&#8217;s name, rather than your own. Check with your accounting professional before making these kinds of capital expenditures.\u00a0<\/p>\r\n \r\n\r\n \r\n<h2>Keeping track of your business expenses<\/h2>\r\n \r\n\r\n \r\n<p>The CRA expects entrepreneurs and small businesses to document and track business expenses. Any <a href="\&quot;https:\/\/www.canada.ca\/en\/revenue-agency\/services\/tax\/businesses\/small-businesses-self-employed-income\/business-income-tax-reporting\/business-expenses.html\&quot;"><span style=\"text-decoration: underline;\">business expense that you intend to claim<\/span><\/a> as a tax deduction must be supported by documentation, including:<\/p>\r\n \r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li>Sales invoices<\/li>\r\n<li>Purchase and sales agreements<\/li>\r\n<li>Receipts<\/li>\r\n<li>Vouchers<\/li>\r\n<li>Cancelled cheques<\/li>\r\n<\/ul>\r\n\r\n\r\n \r\n<p>There are two exceptions to the documentation rule: <a href="\&quot;https:\/\/www.canada.ca\/en\/revenue-agency\/services\/tax\/individuals\/topics\/about-your-tax-return\/tax-return\/completing-a-tax-return\/deductions-credits-expenses\/line-25500-northern-residents-deductions\/meal-vehicle-rates-used-calculate-travel-expenses.html\&quot;"><span style=\"text-decoration: underline;\">meal and vehicle expenses<\/span><\/a>. For these expenses, you can use a simplified method.\u00a0<\/p>\r\n \r\n\r\n \r\n<p>Meal expenses are tax deductible based on a flat rate up to a maximum daily allowance. If you opt to deduct the actual cost of the meal (the detailed method), you\u2019re required to treat it like any other business expense, including recording the transaction and keeping relevant documentation.<\/p>\r\n \r\n\r\n \r\n<p>Similarly, you may use either a simplified or detailed method to claim vehicle expenses as tax deductible. The simplified method uses a flat cents-per-kilometre rate to reduce your tax obligation, though you will need to keep a log of work-related mileage.<\/p>\r\n \r\n\r\n \r\n<p>It\u2019s a good idea to use <a href="\&quot;https:\/\/www.centrosome.ca\/top-5-accounting-software-for-effective-bookkeeping\/\&quot;"><span style=\"text-decoration: underline;\">a<\/span>ccounting or bookkeeping software<\/a> to record your business transactions and expenses. is a tax deductible business expense?<\/h2>\r\n \r\n\r\n \r\n<p>Qualifying business expenses that may be <a href="\&quot;https:\/\/www.canada.ca\/en\/revenue-agency\/services\/tax\/businesses\/topics\/sole-proprietorships-partnerships\/business-expenses.html\&quot;"><span style=\"text-decoration: underline;\">claimed as tax deductions<\/span><\/a> include, but not limited to:<\/p>\r\n \r\n\r\n \r\n<h3>Advertising (in Canadian newspapers, on Canadian television, and\/or on Canadian radio)<\/h3>\r\n \r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li>The entire expense is deductible if your advertising is directed to a Canadian market and the original editorial content is 80 per cent than 80 per cent of a periodical\u2019s total non-advertising content<\/li>\r\n<\/ul>\r\n\r\n\r\n \r\n<h3>Bad Debt<\/h3>\r\n \r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li>You cannot collect money owed to you in the current year and have already included the receivable in income<\/li>\r\n<\/ul>\r\n\r\n\r\n \r\n<h3>Business Start-up Costs<\/h3>\r\n \r\n\r\n\r\n<ul dues or fees for belonging to professional organizations may be deducted, unless the organization\u2019s main purpose is dining, recreation, or sporting<\/li>\r\n<li>The cost of subscriptions to professional publications may be deducted<\/li>\r\n<li>Some business taxes are deductible<\/li>\r\n<\/ul>\r\n\r\n\r\n \r\n<h3>Business-use-of-home Expenses<\/h3>\r\n \r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li>business-related purposes may be deducted if workspace in your home is your primary place of business, or such space is <em>only<\/em> used for business-related purposes and to meet with clients, customers, or patients<\/li>\r\n<li>The total deduction must be proportionate to the amount of space dedicated to your business (e.g. 25 sq. m. office in a 250 sq. m. home = 10 per cent max deduction of qualifying expenses)<\/li>\r\n<\/ul>\r\n\r\n\r\n \r\n<h3>Capital Cost Allowance<\/h3>\r\n \r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li>A portion of the cost of depreciable property, such as buildings, furniture, or equipment, may be deducted over time<\/li>\r\n<\/ul>\r\n\r\n\r\n \r\n<h3>Delivery, Freight, and Express<\/h3>\r\n \r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li>Deductible<\/li>\r\n<\/ul>\r\n\r\n\r\n \r\n<h3>Fuel (except for vehicles)<\/h3>\r\n \r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li>Deductible<\/li>\r\n<li>Fuel related \r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li>Fifty per cent of the lesser of either the amount incurred or a reasonable amount may be deducted<\/li>\r\n<li>Special rules may apply when traveling<\/li>\r\n<\/ul>\r\n\r\n\r\n \r\n<h3>Office Expenses<\/h3>\r\n \r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li>Small items, such as pens, pencils, and paperclips, may be deducted<\/li>\r\n<li>Calculators, furniture, and items deemed capital items may not be deducted<\/li>\r\n<\/ul>\r\n\r\n\r\n \r\n<h3>Prepaid expenses<\/h3>\r\n \r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li>May be deducted in the year or years in which you receive the benefit if you are using the accrual method of accounting<\/li>\r\n<li>Non-inventory related prepaid expenses may not be deducted if: you are using the cash method of accounting OR it has been two or more years since paying the expense<\/li>\r\n<\/ul>\r\n\r\n\r\n \r\n<h3>Property Taxes<\/h3>\r\n \r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li>May be deducted for property-related to your business<\/li>\r\n<li>Property taxes related to business use of your home must be claimed as a business-use-of-home expense<\/li>\r\n<\/ul>\r\n\r\n\r\n \r\n<h3>Rent<\/h3>\r\n \r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li>May be deducted for rents incurred for business use<\/li>\r\n<li>Rent related to business use of your home must be claimed as a business-use-of-home expense<\/li>\r\n<\/ul>\r\n\r\n\r\n \r\n<h3>Salaries, Wages, and Benefits<\/h3>\r\n \r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li>Gross salaries and other benefits paid to employees may be deducted, except for salaries or drawings paid to any owners or partners<\/li>\r\n<\/ul>\r\n\r\n\r\n \r\n<h3>Supplies<\/h3>\r\n \r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li>The cost of items used indirectly to provide goods or services may be deducted<\/li>\r\n<\/ul>\r\n\r\n\r\n \r\n<h3>Telephone and Utilities<\/h3>\r\n \r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li>Phone and utility costs incurred to earn income are deductible<\/li>\r\n<li>Utility expenses incurred at your home for can also be tracked through your business-use-of home expenses when you are paying for the bill personally<\/li>\r\n<\/ul>\r\n\r\n\r\n \r\n<h3>Travel<\/h3>\r\n \r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li>The cost of travel expenses incurred for the sake of business or professional-related purposes may be deducted<\/li>\r\n<\/ul>\r\n\r\n\r\n \r\n<p>&nbsp;<\/p>\r\n \r\n\r\n \r\n<p>Before you can claim an expense as a deduction, your business must have a <a href="\&quot;https:\/\/www.canada.ca\/en\/revenue-agency\/services\/forms-publications\/publications\/p-176r\/application-profit-test-carrying-on-a-business-revised-sept-30-1998.html\&quot;">reasonable expectation of profit<\/a>. In other words, you may not be able to claim an expense as a deduction if the CRA has reason to suspect your activities may never be profitable.<\/p>\r\n \r\n\r\n \r\n<p>For example, income earned from a hobby means you might not be <a href="\&quot;https:\/\/quickbooks.intuit.com\/ca\/resources\/self-employed\/the-difference-between-a-business-and-a-hobby\/\&quot;"><span style=\"text-decoration: underline;\">eligible to claim expenses<\/span><\/a> as tax deductions since you never intend it to be profitable. However, you should speak to an accountant to see if it would be wise to have your hobby classified as a business, and therefore eligible to claim tax deductions.<\/p>\r\n \r\n\r\n \r\n<p>Businesses that aren\u2019t yet turning a profit may have to show the CRA <a href="\&quot;https:\/\/quickbooks.intuit.com\/ca\/resources\/profit-loss\/does-your-business-pass-the-cra-test\/\&quot;"><span style=\"text-decoration: underline;\">when they expect to be profitable<\/span><\/a>.
